Client Relationship Administrator

Reports to: Technical Manager/Director

 

Main Purpose of Job

  • To assist Financial Planners
  • Complete administration tasks within given timescales
  • To deliver outstanding client experience
  • To live the Ardent Standards in line with its values

 

Main Responsibilities

General:

  • Answer the phone and deal with any enquiries adding them into the back-office system
  • Sending out any meeting confirmation emails to clients
  • Manage hello@ardent inbox
  • Meet and greet clients and deal with any face to face enquiries
  • To be available to attend client meetings when required
  • Clients are set up in the correct investment strategies
  • Adding clients, changing personal information, organising additional investments and withdrawal
  • Prepare suitability reports in accordance with the agreed recommendations
  • Complete financial planning forecasting preparation and report.
  • Delivering an excellent customer service in line with company values
  • Review Information provided by the advisor and client, including fact find, risk profiler results and client objectives
  • Identify what is missing from the above and request the information
  • Investigate information received from their existing contracts (investments/pensions/protection) to ascertain what they currently have in place
  • Ensure the ‘Advice’ checklist within CRM is completed in full at the end of each completion
  • Scanning files in run once work completed

Knowledge/Personal Development:

  • Keep up to date with knowledge and personal development
  • Maintain the required level of annual level CPD
  • Keep up to date with product developments/innovations. (Including going to provider seminars/ webinars)
  • Having a good working knowledge of compliance issues

Additional:

  • Complete additional ad-hoc tasks as and when required

Systems:

  • Monitoring and maintaining our in-house platform, CRM’s and any other systems used within the role to ensure information is up to date on improvements, developments and ongoing projects.
  • CRM system (Back office)
  • Adding clients to system.
  • Adding and maintaining audit trails on system.
  • Using the Advice Flow process within the CRM system.
  • Keeping policies and details up to date.
  • Annual Reviews
    • Ensuring clients utilise the service they are paying for
  • SIFA & Technical Connections for technical info.

  • Ability to achieve agreed outcomes with supervision from Client Relationship Manager/Technical Manager/Director
  • Prioritise and plan own workload
  • Detailed and accurate
  • Excellent inter-personal skills, both written and verbal
  • Good IT skills
  • Good report writing skills
  • Ability to work independently and in a team
  • Ability to build a good and thorough technical knowledge

 

Qualifications

NVQ Intermediate Level Apprenticeship in Business Administration desirable.
